Terms & Conditions
Par-Q and Informed Consent Requirement:
All clients are required to complete a Physical Activity Readiness Questionnaire (PAR-Q) and an informed consent form prior to commencing any services, sessions, or programmes. These documents will be sent to clients via email and must be completed and returned before any training begins. Failure to complete these forms may result in refusal or suspension of services until the required documentation is submitted. By completing these forms, clients confirm that the information provided is accurate and complete to the best of their knowledge and acknowledge that they understand and accept any associated risks.
Service Location:
Training sessions take place at the client’s home, garden, or an agreed outdoor location. The client is responsible for ensuring that the training environment is safe, suitable, and free from hazards. The Trainer reserves the right to refuse to conduct a session in any environment deemed unsafe.
Payment Terms:
Payment must be made in advance of all sessions. Bookings are only confirmed once payment has been received. Payments can be made via online booking, card, standing order, bank transfer, as agreed with the Trainer. If payment is not received in advance, the Trainer reserves the right to cancel or decline the session. For ongoing or recurring bookings, failure to make payment may result in suspension of future sessions until the account is brought up to date.
Travel and Location:
Training sessions are delivered within a 7 mile radius of CV37 8QR. Travel within this radius is included in the session fee. Sessions requested outside this radius may be subject to an additional travel charge, which will be agreed in advance based on distance and travel time. The Trainer reserves the right to decline sessions in locations that are not reasonably accessible or where travel requirements are impractical.
Cancellations, Late Arrivals and Rescheduling:
A minimum of 24 hours notice is required to cancel or reschedule a session. If a session is cancelled with 24 hours or more notice, a refund or credit will be issued. If a session is cancelled with less than 24 hours’ notice, the session fee is non-refundable. Failure to attend a scheduled session (no-show) will also result in no refund. If the Trainer needs to cancel a session, as much notice as possible will be provided and the session will be rearranged. If a client is late, the session will still end at the scheduled time and will be charged in full. If the Trainer is late, the session will either be extended where possible or time will be added to a future session.
App Access & Client Status:
Clients are granted access to the coaching app as part of their active training service. This includes their personalised programme, progress tracking, and coaching support.
To maintain access, clients must either:
Attend a minimum of one personal training session per week, or
Maintain an active online coaching subscription.
If a client ceases to meet these requirements or stops training, app access and associated services may be suspended.
Refund Policy:
Where a refund is due, it will be processed within 14 days of the cancellation date and returned via the original payment method where possible. Refunds are only issued in accordance with the cancellation terms outlined above or where payment has been taken in error.
Subscription Terms & Cancellation:
If you purchase a subscription, your plan will renew automatically at the end of each billing cycle unless cancelled in advance. You may cancel your subscription at any time. Cancellation will stop future billing but will not affect payments already processed or provide a refund for any unused time within the current billing period, except where required by law. To avoid being charged for the next billing cycle, you must cancel your subscription at least 48 hours before your next renewal date. Cancellations made after this point may still result in the next payment being taken. Access to subscription benefits will continue until the end of the current paid billing period, after which it will automatically end. By subscribing, you agree that payments are non-refundable once processed, including if you choose to cancel during the billing period.
Outdoor Training & Weather:
For outdoor sessions, training will proceed in most weather conditions. In cases of extreme or unsafe weather (e.g. heavy storms, ice, high winds), sessions may be rescheduled at the Trainer’s discretion or an alternative location used at the Trainer’s and client’s agreement.
Right to Terminate Service:
The Trainer reserves the right to refuse to begin or continue any training session if it is believed to be unsafe to do so. This includes, but is not limited to, situations where a client repeatedly cancels sessions without notice, there is a breakdown in communication or working relationship, a client behaves in a physically aggressive or threatening manner, uses inappropriate or abusive language, engages in behaviour that places themselves, the Trainer, or others at risk, is under the influence of alcohol or drugs, or the client refuses to follow reasonable safety instructions during training. In such circumstances, the session may be terminated immediately without refund, and where necessary, appropriate authorities may be contacted.
Price Changes:
The Trainer reserves the right to review and adjust pricing at any time. Clients will be given a minimum of 14 days’ notice of any changes to session or service fees. Any price changes will not affect sessions already booked and paid for in advance.
Changes to Terms:
KG Mobile Fitness & Wellness reserves the right to update these Terms & Conditions at any time. Clients will be given reasonable notice of any significant changes.
